POSITION OVERVIEW:

The Training Coordinator is a key partner in driving revenue for our business. In this role, you’ll be responsible for fielding, qualifying, and responding to training requests in support of our Operator’s and Technical Training business units. You’ll handle customer inquiries, providing quotes, following up and closing those sales, then working with our Trainers to schedule the training classes across Northern California and beyond. You’ll create Training Certificates of Completion for all students, and you’ll enter invoicing information into our legacy system, and work with our accounting team to ensure payment is received. You’ll also play a key role in implementing marketing campaigns to invite previous students back and attract new students to train and recertify with us. In addition to supporting our customer training department, you will provide critical administrative support for our internal training as well as Environmental Health and safety (EH&S) department, scheduling, tracking, and supporting certification progress and completions and compliance tasks.

Sales

  • Prepare training quotes and follow up to close the deal.
  • Perform post training course survey submission, review and follow up

Marketing

  • Work with our marketing team to communicate with past students and encourage recertification.
  • Assist with keeping the training section of our website current.
  • Work with Marketing to keep training brochures (PDF) up to date as well as to create promotions

Administration

  • Serve as administrative assistant to our internal training and EH&S departments, supporting things like scheduling, reporting, room set-up, meal ordering, certification tracking, and other duties as assigned.
  • Assist in scheduling customers for training courses including registration confirmations, payment processing and collecting.
  • Maintain an accurate training schedule and ensure timely communication to the students and trainer, including customer information and course details.
  • Accurately prepare certificates and wallet cards for each class.
  • Send certificates, wallet cards & posters following Onsite Training Classes to customers.
  • Bill customers for Classes and materials.
  • Manage STRIPE records and monthly billing in support of Cash sales.
  • Maintain certification packet copies for each student which has completed a TMH training course.
  • Ensure certification files are easily searchable and readily available.

Requirements

QUALIFICATIONS & SKILLS:

Required

  • High School Graduate
  • 2-3 years in Customer Service and/or Inside Sales.
  • Exceptional customer service skills demonstrating a helpful attitude with everyone.
  • Professional, kind, and positive phone manners.
  • Ability to multi-task and communicate effectively when under pressure.
  • Detail-oriented with strong organizational and administrative skills.
  • Excellent time management skills.
  • Intermediate skills using Microsoft Office: Word, Excel, Outlook, PowerPoint.
  • Willingness and ability to work with legacy computer applications.
  • Ability to work independently and collaboratively.
  • Ability to understand and follow written and verbal instructions in English.
  • Demonstrated ability to act in a way that is consistent with our values.
  • The ability to use a variety of information technologies is essential, including e-mail, word processing, and spreadsheets (MS Office 365).
  • The ability to work at a branch office daily, if qualified for hybrid work-from-home status, then the ability to work independently at a home office that has high speed internet, with minimal to no distractions during work hours (7:30-4:30).
  • Qualified background check and drug screening.

Desired

  • Bi-lingual Spanish.
  • Experience with HubSpot and inbound/outbound marketing.
  • Experience with STRIPE or similar credit card payment system.
  • Proficient in using website forms.
  • Proficient using Adobe Acrobat. Creating and editing PDF documents.

Physical Environment

  • Position operates in a professional office environment with the requirement to visit and walk around a warehouse with fluctuating temperatures.
  • Spend most days seated at a desk, working at a computer terminal to input data, handle phone calls, and exchange electronic messages.
  • Use the computer as a telephone, messenger, and work tool, so expect to wear a headset and use both a keyboard and mouse frequently throughout the day.
  • Regularly sit, stand, and walk for long and short distances.
  • Hear with or without correction to be able to interpret and receive information and directions.
  • Communicate, verbally and in written form, regularly to describe and explain detailed, important, and accurate instructions internally and directly with customers.??
  • Occasionally lift and/or move material up to 25 lbs.
  • Occasionally stoop, kneel, or crouch.
  • Noise level is usually moderate.
