General Description

Greet clients entering office, direct them to specific destinations. Accept program applications from tribal members and attach all documents. Assist Director with files, scanning of documents. Run errands on tribal grounds, answer phone, copy, fax, log incoming and outgoing mail. Data entry on program files. Microsoft Word, Excel and Laserfiche program. Social Service Director will make all appropriate decisions, approve expenditure and be the initial point of contact for special project participant(s), client files must be maintained and kept current and must be considered private and privileged information. Any assigned duties.

Responsibilities & Duties

• Maintain a professional attitude and a flexible, positive approach to their job.
• Answering the phone and transferring calls as needed.
• Sorting and delivering incoming mail and collecting and sending outgoing mail.
• Create documents, maintaining databases and sending memos and emails.
• Running errands and making deliveries around the office or to external parties.
• Maintain prompt hours and notify the Director in the event of illness.
• Maintain appropriate records and fully understand confidentiality.
• Attends staff meetings and trainings when required.
• Has a responsibility to communicate with the Director concerns regarding any problem that cannot be resolved and is leading to a confliction situation.
• Follow all policies and procedures of the programs within the Social Service Department.
• Incumbent conducts an initial interview with interested applicants and explain eligibility requirements concerning Federal and Tribal Social Services programs: Tribal Energy Assistance (TEA), AST School Clothing Program, and AST Burial Program. BIA Programs, GA - General Assistance / Burial Assistance / Disaster Assistance and LIHEAP Programs, Cooling / Heating / Family Crisis Assistance.
• Prepares timely request for assistance, awards and issues letters of approval or denial.
• Other duties as assigned.
  

Qualifications

Education and Qualifications

• High School Diploma or GED Equivalent.
• Friendly and pleasant demeanor
• Computer / Word Processing skills
• Excellent phone skills
• Excellent typing skills
• Experience and knowledge in Tribal and Federal Programs.
• Must have a valid Oklahoma Driver’s License.
• Must be able to pass a background check and drug test.

Physical Requirements and Working Conditions

• Excellent communication abilities, including speaking, writing and active listening
• Effective organization and time mangement skills, like prioritization, multitasking,a nd planning.
• Great customer service skills, including a personable and positive attitude.
• Ability to work independently with little to no supervision.
• High typing speed and accuracy.
• Good computer skills, including basic troubleshooting and using word processing, spreadsheet, email software applications.
• Keen attention to detail.
• Must be able to sit, stand, stoop, bend or kneel for long periods of time.
• Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking, hearing and visual acuity.
• Frequent lifting (up to 15 lbs)
• Occasional lifting (up to 30 lbs)
