Job Description: General Contracting Administrative Assistant

Location: Philadelphia, PA

Reports To: Senior Project Managers

Job Summary

We are seeking a full-time proactive and detail-oriented Administrative Assistant to join the general contracting team. This role is essential in ensuring the smooth execution of administrative and project coordination tasks across multiple affordable housing construction and rehabilitation projects.

Key Responsibilities

  • Provide administrative support to project managers and construction teams throughout all phases of affordable housing development projects.

  • Track and manage project documentation including contracts, requisitions, RFIs, submittals, change orders, and compliance reports.

  • Assist with the preparation and submission of funding and regulatory documentation related to affordable housing programs and section 3, WBE/MBE requirements using B2GNow and LCP Tracker.

  • Support bid processes, subcontractor onboarding, and insurance compliance.

  • Organize and maintain digital filing systems for project records.

  • Assist with internal reporting, meeting coordination, and follow-up on action items.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • 2+ years of administrative experience in construction, real estate development, or general contracting.

  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Excellent organizational, communication, and time management skills.

  • Ability to manage multiple priorities in a fast-paced environment with attention to detail.

Preferred Skills

  • An understanding of affordable housing funding sources and compliance requirements.

  • Experience working with public agencies, developers, and subcontractors.

  • Familiarity with prevailing wage documentation and certified payroll reporting.

  • Familiarity with Quick Books/other accounting software preferred.
