Job Description

A dispatcher in a freight forwarding company is responsible for coordinating the transportation of goods by managing the scheduling and allocation of trucks to pick up and deliver shipments, communicating with drivers, customers, and carriers to ensure timely delivery, and resolving any logistical issues that may arise throughout the shipping process; essentially acting as the central point of contact for all aspects of a shipment once it is booked with the company.

• Load planning and assignment:  Finding suitable carriers for each shipment based on factors like route, cargo type, and delivery deadlines, and assigning loads to available trucks. 
• Driver communication: Maintaining contact with drivers throughout the transit process, providing updates on pick-up and delivery times, addressing any route changes or delays, and ensuring compliance with regulations. 
• Customer service: Interacting with clients to answer questions regarding shipment status, manage expectations, and resolve any issues that may arise. 
• Tracking and monitoring shipments: Utilizing tracking systems to monitor the location of shipments in real-time and proactively address potential problems. 
• Documentation and paperwork: Completing necessary paperwork including bills of lading, delivery receipts, and other shipping documents.
• Rate negotiation: Negotiating freight rates with carriers to secure the best price for the company. 
• Problem-solving: Identifying and addressing logistical challenges such as unexpected delays, weather disruptions, or vehicle breakdowns.

Skills and qualifications for a freight dispatcher:

• Strong communication skills, both verbal and written, to effectively interact with drivers, customers, and carriers. 
• Excellent organizational skills to manage multiple shipments simultaneously. 
• Proficiency with transportation management systems (TMS) and load boards to find available carriers and track shipments. 
• Geographical knowledge to plan efficient routes 
• Ability to work under pressure and meet tight deadlines. 
• Understanding of freight regulations and compliance requirements.
